What is an AI acceptable use policy?

An AI acceptable use policy (AUP) is an internal document that sets out how employees may use AI tools at work. It defines which tools are approved, what data can be submitted, how to handle AI-generated outputs, and what is prohibited. It is the practical home for what frameworks ask: the NIST AI RMF wants trustworthy AI built into organizational policies (GOVERN 1.2), and the EU AI Act asks providers and deployers to support AI literacy among their staff (Article 4).

Does my small business need an AI policy?

If your team uses any AI tools — even just ChatGPT for drafting — yes. Without a policy, employees may unknowingly submit confidential data to tools that train on it, violate client confidentiality obligations, or create liability under employment or data protection law. A basic acceptable use policy takes under an hour to produce and significantly reduces these risks.

Is this policy legally binding?

The generated policy is a starting-point template, not legal advice. It should be reviewed by your legal or HR team before publishing internally. Once adopted as an internal policy and communicated to employees, it can form the basis of disciplinary action for misuse. It does not substitute for a Data Processing Agreement with your AI vendors or sector-specific compliance documentation.

How often should I update my AI acceptable use policy?

At minimum, review your AI policy annually. More frequently if: you adopt new AI tools, a regulation that applies to you changes (the EU AI Act's high-risk rules for Annex III systems apply from December 2, 2027), or you experience an AI-related incident. The generated policy includes a review date one year from creation.
